Job Summary:

The Receptionist is responsible for providing office and clerical services. Serves visitors by greeting, welcoming and directing them appropriately; notifies organization personnel of visitor arrival.

Duties & Responsibilities:

·       Monitors visitor access and issues passes when required.

·       Answers questions about the center and provides callers with addresses, directions, and other information.

·       Maintains telecommunication system by following manufacturer’s instructions for house phone and console operation.

·       Maintains a safe and clean reception area by complying with procedures, rules, and regulations.

·       Maintain the general filing system and file all correspondence.

·       Preparation of routine correspondence, faxes, memoranda, and reports.

·       Receipt of shipments, customs clearance arrangements, preparation of documents for shipments; (received/sent), and arrangements for shipments.

·       Receive visitors, external staff (experts, consultants, etc.), suppliers, and colleagues from other national and international institutions coming to the Project Office; inform and direct them to the appropriate project office staff.

·       Receive, answers, and/or direct incoming e-mails enquiring about general information about the Representation.

·       Receive, direct and mail all hard copy correspondence and documentation, including faxes.

·       Set up, update and maintain directories, telephone and e-mail lists, office records and files, reference guides, and manuals.

·       Type correspondence, administrative forms and documents, and any other material as required.

·       Ensures the reception area and telephones are attended to at all times during office hours.

·       Ensures complete messages are taken when staff are absent and given to staff in a timely manner.

·       Greets and directs visitors to staff, services or information and maintains a sign-in register.

·       Re‐direct calls as appropriate and take adequate messages when required.

·       Provide secretarial support.

·       Monitor the use of supplies and equipment.

·       Maintains contact lists of Government/ Municipal/ Partners/ Civil Society officials












·       Translation of short docs, notes·       Performs other duties, as required. 

Job Requirement:

·       High School graduate, BBA degree will be preferred.

·       Minimum 1-year experience related to the mentioned position.

·       Good communication skills both oral and written in Dari, Pashto, and English.

·       Being representative at all times.

·       Cooperative and team-working skills.

·       Being flexible regarding working hours.

·       Disciplined, honest, professional, and hard worker.
