Job Summary:

The Procurement Assistant will oversee procurement activities of the IRA. S/he will help to establish and maintain updated data base for vendors, inventory of all aspects/belongings and procurement procedures in compliance with IRA procurements rules and regulations and ensure that all procurement activities follow these regulations. The Procurement Assistant will be responsible for the following detailed tasks, but not limited to.

Duties & Responsibilities:

  • Issued request for quotes for small procurement to local vendors and initiate the procurement action.
  • Prepared recommendations price analyses for the purchase of substitute items which are economical to the project by consulting manufacturer’s catalogue and conducting market surveys.
  • Monitor, track and expedite procurement activities and delivery status of goods/services;
  • To work with international and national procurement staff members and help/respond to their requests.
  • Preparing Request for payment of Contract Unit, (i.e. lease advance payments, also sending and preparation of renewal of Letter of Intent/contracts with the vendors of if required or needed);
  • Receiving shipping information from International and National vendors and sending for custom clearance, coordinating the concerns to relevant sections/units;
  • Liquidate and make amendment to the Purchase Orders, after checking all payment status of the Purchase Orders and discussion/consultations with the Buyers and account holders;
  • Distribute the Purchase Orders, internally and externally via fax and e-mail.
  • Provide regular updates to requestors; recommend customized reports from TAMIS to facilitate effective tracking;
  • Performance forms and procedures. Ensure timely and accurate entry of vendor information in the system;
  • Maintain a good filing system;
  • Perform other related duties as assigned.

Job Requirement:


  • DBA, 14 Grade in social science or any other relevant field
  • Bachelor’s degree in the relevant field is preferable.


  • At least 2-3 years work experience in the procurement, contracts, and/or grants management field, preferably with international donor-funded projects, UN agencies or NGO’s on relevant programs in Afghanistan.












  • Fluency in English and Pashto, Dari a plus
  • Excellent verbal and written communication skills.
  • Computer literate with e-mail, word processing and spreadsheet.
  • Ability to design database and prepare meaningful reports.
